Letter of Credit (L/C) Payment When Importing a Used Car from Japan

When importing a used car from Japan, the payment method is an important part of the transaction.

One payment method used in international trade is a Letter of Credit (L/C), also called a Documentary Credit.

An L/C involves banks and sets out specific conditions and documents that must be presented before payment is made.

What Is a Letter of Credit?

A Letter of Credit (L/C) is an arrangement issued by a bank at the request of a buyer.

Under the terms of the L/C, the bank undertakes to make payment to the seller when the required documents are presented and comply with the conditions of the credit.

The L/C normally specifies important details such as:

  • The buyer and seller
  • The amount and currency
  • Required documents
  • Shipping requirements
  • Presentation deadlines
  • Other conditions agreed by the parties

How Does L/C Payment Work?

The process generally follows these steps:

1. Buyer and Seller Agree on the Transaction

The buyer and Japanese exporter agree on the vehicle, price, shipping arrangements, and payment terms.

2. Buyer Applies for an L/C

The buyer contacts their bank and requests the issuance of an L/C in favor of the exporter.

The bank may require documents and information before issuing the L/C.

3. L/C Is Issued

The buyer’s bank issues the L/C and sends it through the banking system to the bank handling the exporter.

The exporter reviews the L/C conditions.

4. Vehicle Is Prepared and Shipped

If the conditions are acceptable, the exporter prepares the vehicle for shipment.

After shipment, the exporter obtains the documents required under the L/C.

5. Documents Are Presented

The exporter presents the required documents to the bank within the specified time.

Depending on the transaction, documents may include:

  • Bill of Lading (B/L)
  • Commercial Invoice
  • Packing List
  • Export-related documents
  • Other documents specified in the L/C

6. Banks Examine the Documents

The bank examines the documents to determine whether they comply with the terms and conditions of the L/C.

If the documents comply, payment is handled according to the L/C terms.

If there are discrepancies, the banks may contact the parties for further instructions or corrections.

Why Are Documents Important?

Letter of Credit transactions are based on documents and the terms of the credit.

This means that the documents must be prepared carefully. Details such as names, amounts, dates, shipping information, and other required information may need to correspond with the Letter of Credit requirements.

For this reason, the buyer and exporter should review the Letter of Credit conditions before the vehicle is shipped.

Example: Buying a Used Car from Japan to Guyana

For example, a buyer in Guyana agrees to purchase a used Japanese vehicle.

The buyer arranges an L/C through their bank. The L/C states the amount of the transaction and the documents required from the Japanese exporter.

The exporter prepares and ships the vehicle, then presents the required documents to the bank.

The documents are examined against the L/C conditions. If they comply with the requirements, the payment process proceeds according to the terms of the L/C.

The vehicle then continues through the normal shipping and import procedures in Guyana.

What Should Buyers Confirm Before Using an L/C?

L/C requirements can differ from one transaction and bank to another.

Before arranging an L/C, buyers should confirm:

1. Bank requirements
What information and documents are needed to issue the L/C?

2. Fees and charges
What issuance, document handling, correspondent bank, or other charges may apply?

3. Required documents
Which documents must the exporter provide?

4. Deadlines
When must the documents be presented?

5. Payment terms
When and under what conditions will payment be made?

6. Currency
What currency will be used for the transaction?

L/C vs. Other Payment Methods

International vehicle transactions can use different payment arrangements depending on the agreement between the buyer, exporter, and banks.

For example, transactions may involve:

  • Bank transfer / Telegraphic Transfer (T/T)
  • Letter of Credit (L/C)
  • Other agreed payment arrangements

The appropriate method depends on the transaction, banking arrangements, costs, and the conditions agreed by the parties.

Important Point

A Letter of Credit is a banking payment mechanism. It does not replace the need for a clear agreement between the buyer and exporter.

Before making a purchase, both sides should confirm:

Vehicle → Price → Payment Method → Shipping → Required Documents

For an L/C transaction, the exact requirements should be confirmed with the relevant banks before the transaction begins.
